Job description

Permanent Contract - Full Time - 37 hours per week - 08:00 – 16:00- Mon-Fri

Term Time Only plus one week.

Required to start as soon as possible.

The Head Teacher and Governors of Evergreen Primary School are seeking to appoint an organised, reliable and highly motivated Admin/Finance/HR Assistant at our Bishop Auckland site, to join our dedicated school team.  You may also be asked to travel to our Newton Aycliffe site.

Evergreen Primary School is a supportive specialist setting for children with Profound and Multiple Learning Difficulties (PMLD), Severe Learning Difficulties (SLD) and Complex Autism (ASD). Our school benefits from accessible grounds which are used by all year groups to support learning, wellbeing and engagement.

The successful candidate will play a vital role in ensuring our school provides a safe, secure, and well-maintained environment for pupils, staff and visitors.

  • To complete the school’s financial data/transactions using the school’s Oracle financial system and related systems. Progress and resolving queries as necessary
  • Resolve any IProc commitments and queries
  • Produce summary reports and audit trails for the presentation to Governors, Head Teacher, SBM and School Funding Officer
  • Produce spending reports for budget holders and the Head Teacher/SBM
  • To maintain adequate stock records of consumable items e.g. stationery, caretaking materials and issue to users, obtaining best prices at all times
  • To assist with the receipt and despatch of all stock items, dealing with suppliers as necessary and maintain the central stock inventory. Provide budget holders with spending information
  • To assist with arranging repairs and maintenance to school buildings, grounds and equipment and coordinate related paperwork and e-mails, liaising with Direct Services personnel and other contractors in person, online systems or by telephone, as required
  • To manage the school’s petty cash, including making all payments with appropriate receipts and authorisation. Submit regular claims to Durham County Council for reimbursement
  • Assist with Pupil Premium, PE Premium and other grant tracking
  • Process the purchasing for specialist equipment, medical, sensory and communication resources
  • Assist with supply staff finances and manage supply staff in school
  • Organise cash for banking into School Budget account and maintain any related computerised record. Arrange for collection by Loomis at Lloyds Bank, or pay into School Fund account as and when cash is received
  • Support SBM with personnel records and supporting documentation
  • Support with a range of personnel matters, maintain computerised personnel   system and assist with the School Workforce Census.
  • To prepare staff absence returns for submission to Durham County Council and record all absence information on the appropriate systems (Arbor and MyView). Collect and process supporting documentation and assist School Management with Sickness Management Procedure as required
  • To assist with staff recruitment process including placing adverts, collating applications, inviting candidates and Governors for interview, requesting references etc.
  • To administer the School Fund carrying out regular reconciliations and maintain accurate financial records and produce annual balance for onward submission to Fund’s external auditor and prepare accounts for Governors
  • Work together with the school’s Catering Manager and SBM to maintain kitchen records and ensure best practice is taken at all times. Ensure stock lists and profit/loss records are updated and correct for submission to Governors
  • Support SBM with recruitment, personnel administration, sickness management
  • Undertake general office duties appropriate to the role
  • To carry out any other duties commensurate with the grading of the post at the direction of the Head Teacher or SBM

Calculation of term time only plus one week pay

Term time only plus one additional week pay is calculated on the basis of the following:

  • Number of ‘teaching’ weeks – 38 weeks; plus
  • Public (bank) holidays – 1.6 weeks (8 days); plus
  • One additional week, inclusive of CPD – 1 week; plus
  • Individual leave entitlement - 5.4 weeks (27 days) or 6.4 weeks (32 days)

Individual leave entitlement is calculated on the length of continuous service. Employees with less than 5 years’ service will receive 27 days annual leave. Employees with more than 5 years’ service will receive 32 days annual leave. For example:

Calculation for employees with less than 5 years’ service:

40 weeks (term time plus 2) + 27 days (annual leave) + 8 days (public holidays) = 47 weeks’ pay, to be paid in 12 equal monthly instalments

Calculation for employees with more than 5 years’ service:

40 weeks (term time plus 2) + 32 days (annual leave) + 8 days (public holidays) = 48 weeks’ pay, to be paid in 12 equal monthly instalments
